Najla starts with role selection because the role decides which setup questions, assignment gates, and dashboard are available.

3. 3Use the invitation path when a role must be connected to an existing property or company instead of creating a new top-level account.
4. 4Read the role description before continuing; the dashboard does not expose records outside the accepted role and operating scope.

Account journey
Create and verify the account
The account-details step collects the identity and contact information used by Najla Auth and by authorized operating contacts.
1. 1Enter the full name, a unique Najla username, an accessible email, and the mobile number.
2. 2Saudi mobile numbers use the +966 route shown in the form. Company worker creation also normalizes a local 05 number to +966 automatically.
3. 3Use a password with at least eight characters, including a letter and a number, then confirm it.
4. 4Read and accept the Terms of Service and Privacy Policy before creating the account.
5. 5Complete the role-specific setup and review screens. Assignment-gated roles may finish signup but remain outside the operational dashboard until an assignment is accepted.

Account journey
Sign in and enter the assigned workspace
One sign-in page resolves the verified account to its active role and accepted property, provider, worker, or resident context.
1. 1Enter the registered email and password.
2. 2Use Forgot password if the password is unavailable; never create a second account to regain access to an existing assignment.
3. 3After authentication, Najla opens only the active dashboard and operating scope assigned to the account.
4. 4Property Managers and provider companies can complete signup while unassigned, but their operating dashboard opens only after an accepted active property appointment.
5. 5Workers can sign in immediately after their company creates the worker account, while operational work remains empty until the company assigns a task or recurring occurrence.

How to use it

1Open the property register and confirm the expected real estate appears in the active list.
2Open a property card to review its address, units, floors, shared spaces, parking, and current assignment state.
3Use the unit or resident tools only inside that saved property.
4Reload after an invitation or appointment is accepted so the new scope appears.

Rules to remember

Only owned, association-managed, delegated, or accepted properties for this account are visible.
Provider and manager assignments are separate from resident ownership or tenancy.
Archived properties remain historical and cannot receive new operational work.

Create and manage owner or tenant access without sharing a high-authority account.

How to use it

1Choose the saved property and unit before creating or reviewing a resident account.
2Enter the resident identity, email, phone, and direct-login details required by the form.
3Review the assigned unit and role, then create the account or send the available invitation route.
4Use search and lifecycle history to confirm whether access is waiting, opened, accepted, expired, cancelled, or resent.

Rules to remember

A resident sees only the accepted unit scope.
Contact details are visible only to authorized property roles.
Use a separate resident account for each person; never share an Association President or Property Manager sign-in.

Requests & Invites

Send, receive, search, and follow appointment or resident requests through their complete lifecycle.

How to use it

1Choose the correct request type and enter the exact email or phone supplied by the other party.
2Review the safe identity preview before sending; no customer directory should be exposed.
3Open a received request to accept or reject it with the available reason field.
4Track waiting, opened, accepted, expired, cancelled, and resent events in the activity history.

Rules to remember

Sending a request does not grant access; accepted active context is required.
Exact contact lookup prevents browsing unrelated Najla customers or properties.
Cancel and resend create auditable lifecycle events rather than replacing history.

Owners Association President

Tickets

Create, review, route, execute, close, and archive service tickets while preserving every decision and linked bill.

How to use it

1Choose the real estate, saved unit or shared area, category, urgency, title, and description.
2Save a draft when work is not ready, or send the ticket into the property workflow.
3If a Property Manager is appointed, that manager reviews and may edit the ticket before the property authority approves provider routing.
4The appointed provider accepts the work and may assign a registered worker; if no matching provider exists, the approved ticket remains visible to the property route for follow-up.
5Follow Open, In progress, Waiting, Submitted, Closed, and Archived states together with the elapsed assignment timer.
6Attach a bill when the ticket has a known charge; the ticket and bill keep one linked activity history.

Rules to remember

Ticket location must come from the saved unit or shared-area record, except the explicit Other option.
Provider routing, worker assignment, billing, and payment are separate recorded decisions.
Closing work requires the authorized review route and does not delete evidence or history.

Recurring Jobs

Create and monitor repeating work with exact schedule values, responsible appointments, and auditable occurrences.

How to use it

1Choose the property, saved unit or shared area, work category, priority, and responsible appointed role.
2Enter the work notes, checklist, proof requirement, duration, start date, and end rule.
3Select weekdays from the controls; do not type weekday names.
4Save a draft or send the request through the same manager, property-authority, provider, and worker route used by tickets.
5Review each generated occurrence as Upcoming, Due, Past — not completed, or Completed.

Rules to remember

The schedule and its generated occurrences are separate records.
Completing one occurrence does not close the recurring schedule.
Editing or cancelling a schedule preserves prior occurrence history.

Bills / Collections

Prepare ticket-linked or standalone bills, follow approval, collect payment, and preserve receipt and Online Collection history.

How to use it

1Open a linked bill from its ticket, or create a standalone bill when no ticket applies.
2Choose the collector, one recipient or an even unit split, then enter every named amount.
3Review the subtotal, separately labelled Najla Online Collection fee, and total to collect.
4Follow provider, Property Manager, property-authority, and payer approvals required by the active property route.
5Track In review, Waiting for payment, Paid, Closed, and Archived states and review the complete activity history.

Rules to remember

Bills remain locked until the collector has a verified saved bank account.
Worker-created amounts are company-directed drafts; workers do not choose the payer or collector route.
A bank-transfer receipt needs authorized review, while staging Online Collection uses Moyasar sandbox only.
An even split creates a separate unit bill and balances remaining halalas exactly.
